How to display a conference room schedule outside the door
This question has been asked on the Spiceworks community more or less continuously since 2014 ("Do you schedule meetings at 9:00AM for the afternoon, only to see the room you have properly scheduled be occupied at your meeting time by someone who looked at the paper, not the outlook schedule?"), again in 2017, and again in 2023. The asker always wants two things: people at the door should see the schedule, and the schedule they see must be the live one, not this morning's printout.
The honest starting point, from the 2014 thread's most-upvoted practical reply: fix the culture first. "Outlook schedule is the only schedule that counts. If it's not booked there, you don't have the room." No display fixes a room whose real booking system is the loudest person in it. Once that rule exists, here is every way to surface the schedule at the door, with the costs each thread discovered the hard way.
Option 1 — a purpose-built scheduling panel per door
The 2023 thread's replies list them: certified panels for the big meeting platforms, from several hardware vendors. They are the best glanceable displays made, and the thread also records their costs accurately: roughly $700–$1,300 per door for hardware, a per-device platform licence in most deployments (Microsoft's shared-device licence is $8 per device, plus a room resource account), and — the recurring complaint — "not cheap, mounting requires network drops at each device." Microsoft's own deployment guidance says panels "generally support Power over ethernet plus (PoE+) for power" and tells you to involve facilities before promising dates. If every doorway has PoE and the budget is real, this is the premium answer. If not, the install cost is the product.
Option 2 — a PC or tablet showing the room calendar
The DIY thread-favourite. Real builds that worked: a wall-mounted all-in-one showing the room mailbox's calendar, a tablet in a kiosk browser on the web calendar's day view, a single-board computer driving a monitor. Three traps the threads paid for so you don't have to:
- The licence-per-door trap. The 2017 asker discovered his migrated room calendar wouldn't display until he assigned a full user licence to the room account and allowed sign-in — a recurring per-room software cost nobody had budgeted, just to render a calendar.
- The idle-timeout trap. Web calendars in kiosk browsers sign themselves out; one build resorted to a scheduled task killing and relaunching the browser every ten minutes.
- The electricity trap. The accepted answer in the 2017 signage thread — a cheap tablet, locked case, kiosk software, homemade web page — ends: "The hardest part was getting electricity to it!" That problem has its own guide.
Option 3 — battery e-ink door signs
E-ink signs solve the power problem: weeks of battery, no cabling, wireless updates. The threads like them right up until renewal time — the going rate is several hundred dollars per sign plus a subscription, and one widely-reported renewal for seven signs jumped from $500 to $3,000 a year. Option 4 — no screen: the schedule is on the phone at the door
Reframe what the door actually needs. Split the jobs a door display does:
- Book this room while standing at it — a phone does this, via a QR code on the door.
- Check whether the people inside should be — a phone does this too, same scan.
- See which room is free across the whole floor — a phone does this better than any single door display: an app can show every room's live state at once, where a panel answers only for its own door.
- Glance at one door's status with nothing in your hands — this, and only this, genuinely needs a screen.
If the last job is essential for a particular room, put one display on that room (options 1–3). For every other door, a printed QR code costs nothing to power, never shows a stale schedule (it opens the live one), and takes the booking on the spot — which paper and read-only displays never could. One 2014 reply saw this coming: "the only thing I think an electronic display would be good for is to confirm what is going on with the room. It is a read-only device in my mind."
